Your privacy is critically important to us. This Privacy Policy ("Policy") outlines how VanCode LLC ("VanCode," "UniScribe," "we," or "us"), as the data controller, collects, uses, and shares your Personal Information when you use our services (collectively, "Services").

Please read this Policy carefully. By accessing or using any part of our Services, you agree to the practices described herein. If you do not agree with this Policy, please do not use our Services.

1. What We Collect

We will collect and use the following information about you:

Information you provide to us

  • Account Information.

When you create an account to use our services, you will be asked to provide your contact details such as your name, email address, and a password. For paid services, our payment processing partner Stripe, Inc. may also collect your name, billing address, and payment information. Payment information is not shared with us and is maintained by Stripe.

  • User input.

When you use UniScribe, we collect personal information included in the audio, video, YouTube links, text, and other inputs you provide to generate transcripts, summaries, and translations.

  • Communications Information.

We collect your name, email address and other information you choose to provide in communications with us, including through the "Feedback" page.

  • Payment Details.

When you register to use any of our paid Services, our payment processing partner Stripe, Inc. may collect and process your billing details such as your name, credit card information, and billing address. Payment information is not shared with us and is maintained by Stripe.

Information You Provide to Us about Others

If you provide an audio or video recording, this may contain the personal information of third parties. Before you do so, please make sure you have the necessary permissions from your colleagues, friends or other third parties before sharing Personal Information or referring them to us.

Information We Collect Automatically

  • Usage Information.

We collect usage data about your interactions with the Services, including, but not limited to, information on operation settings, number of uploaded files, transcription time, file types, transcription formats and languages selected for transcription.

  • Device Information.

When you use our Services, we collect the device information such as device type, unique identifier (UID), IP address, and operating system.

  • Location information.

Such as approximate location based on IP address.

  • Cookies.

We use Cookies to enhance your experience when using the Service. For more information about our Cookies policy, see HOW WE USE COOKIES below.

Information We Receive from Third Parties

  • Information from platforms our Services relies on.

We receive transaction information from our payment processor Stripe. More information is available here: https://stripe.com/gb/privacy.

  • Third Party Integrations.

When you connect third party platforms, apps or providers to our Services, or when you register through a third party account (such as Apple, Google or Microsoft), we receive Personal Information that includes your username, email address, and time from such third parties and any information you choose to upload to such third party platforms (“Platform Information”).

2. How We Use Your Information

We use your Personal Information to:

  • Set up your account.

We use your registration information, device information and information received from third parties (such as your username, email address) in order to set up an account for you to use our Services.

  • Provide you with the Services.

We use your audio and video files, usage information and platform information in order to provide you with the Services. We obtain explicit permission (e.g. when you rate the transcript quality and give UniScribe and its third-party service provider(s) permission to access the conversation for product improvement purposes) for manual review of specific task to further refine our service.

  • Analyze and improve our Services.

We may use the information gathered to perform statistical analysis of user behavior or to evaluate and improve our Services.

  • Communicate with you.

If you contact us, we will use your contact information to communicate with you and, if applicable, your usage information to support your use of the Services.

  • Send you newsletters about product news or updates that may be of interest to you.

We will send you emails with news or updates pertaining to our Services. When doing so, we process your email address, name and may process your usage information.

3. How We Use Cookies

We also use persistent first-party cookies and some third-party cookies to store certain preferences, make it easier for you to use our applications, and perform A/B testing as well as support some analytics.

A cookie is a piece of text stored by your browser. It may help remember login information and site preferences. It might also collect information such as your browser type, operating system, web pages visited, duration of visit, content viewed, and other click-stream data. You can adjust cookie retention settings and accept or block individual cookies in your browser settings, although our apps won’t work and other aspects of our service may not function properly if you turn cookies off.

4. How We Share Your Information

Third party services are not owned or controlled by UniScribe and third parties may have their own policies and practices for collection, use and sharing of information. Please refer to third party privacy and security policies for more information before using such services. Third parties include vendors and service providers we rely on the provision of the Services. We share your Personal Information with selected third parties, including:

  • Other users who you collaborate with.

When you collaborate with other users or share UniScribe transcripts, we may display your basic account information (e.g., your name or username) to those users. They will also be informed that you shared the transcript and that they are subject to the relevant transcript consent terms.

  • Cloud service providers who we rely on for compute and data storage.

Including Microsoft Azure in the United States, a trusted cloud platform known for its robust security and compliance standards. Additionally, we utilize Cloudflare for enhanced performance and protection, ensuring your data is securely transmitted and stored.

  • Platform support providers who help us manage and monitor the Services.

Including Umami, which is based in the U.S. and provides user event data for our Services.

  • Artificial intelligence service providers that provide backend support for certain UniScribe product features.

Including OpenAI, Replicate, and others. We'll only disclose the information necessary for these parties to perform their services for us, and they’ll be bound by contractual obligations to protect your personal information.

  • Analytics providers who provide analytics, segmentation and mobile measurement services and help us understand our user base.

We work with a number of analytics providers, including Google LLC, which is based in the U.S. You can learn about Google’s practices by going to https://www.google.com/policies/privacy/partners/.

  • Payment processors.

Such as Stripe. These payment processors are responsible for the processing of your Personal Information, and may use your Personal Information for their own purposes in accordance with their privacy policies. More information is available here: https://stripe.com/gb/privacy.

  • Change of corporate ownership.

If we are involved in a merger, acquisition, bankruptcy, reorganization, partnership, asset sale or other transaction, we may disclose your Personal Information as part of that transaction.

  • With your consent.

We may also disclose information when you request, direct or consent to us doing so.

  • Legal reasons.

We may disclose your information to comply with an applicable law, regulation, or an enforceable government request, to enforce our contractual arrangements and policies, or to protect or defend the Services, our rights and the rights of our users or others.

5. How We Secure Your Data

UniScribe maintains and implements physical, administrative, and technical safeguards to protect the confidentiality, integrity, and availability of personal information. However, the transfer of Personal Information through the internet will carry its own inherent risks and we do not guarantee 100% security of your data transmitted through the internet. You make any such transfer at your own risk.

Our products and other web properties are operated in the United States. If you are located in the European Union, UK, or elsewhere outside of the United States, please be aware that any information you provide to us will be transferred to and stored in the United States. By using our websites or services and/or providing us with your personal information, you consent to this transfer.

6. How We Delete Your Data

UniScribe stores all Personal Information for as long as necessary to fulfill the purposes set out in this Policy, or for as long as we are required to do so by law or in order to comply with a regulatory obligation.

When you ask to delete your account and all data or delete a transcription in UniScribe, all associated data (including original audio/video files and transcriptions) is permanently removed from our servers within 24 hours. These actions can't be undone.

7. Your Rights

In certain circumstances, you have the following rights in relation to your Personal Information that we hold.

  • Access.

You have the right to access the Personal Information we hold about you, and to receive an explanation of how we use it and whom we share it with.

  • Correct.

You have the right to correct any Personal Information we hold about you that is inaccurate or incomplete.

  • Delete.

You have the right to request for your Personal Information to be erased or deleted.

  • Restrict processing.

You have a right in certain circumstances to stop us from processing your Personal Information other than for storage purposes.

8. Children’s Privacy

The Services are not aimed at children, and we do not knowingly collect Personal Information from children under the age of 13. If you are under the age of 13, please do not submit any personal information through the Services. If you believe that a child has provided us with Personal Information in violation of this Policy, please contact us as indicated below.

9. Updates to this Privacy Policy

Where required, we will update this Privacy Policy from time to time. When we do so, we will make it available on this page and indicate the date of the latest revision. Please check this page frequently to see any updates or changes to this Policy.
